Privacy Policy: Internal Operations OS

This Privacy Policy describes how information is collected, used, and protected within the Internal Operations OS platform ("the Platform"), developed by Merrill Digital Systems LLC ("we," "us," or "our") for internal business use.
1. Scope
The Platform is an internal operations hub designed for use by authorized employees and team members of the deploying organization. It is not a consumer-facing application. Access is restricted to authenticated users with assigned roles.
2. Information Collected
User Account Data: Name, email address, role, and authentication credentials for users provisioned by the organization.
Operational Data: Job records, task assignments, workflow data, reports, notes, and other business information entered by users during normal platform use.
System Logs: Activity logs, login timestamps, and audit trails for security and compliance purposes.
Device & Access Data: Browser type, IP address, and device information collected during authentication and session management.
3. How Information Is Used
Information collected through the Platform is used to:
- Operate and maintain the Platform's core functionality (job tracking, task management, reporting, workflows)
- Manage user accounts and role-based access
- Generate business reports and operational analytics
- Maintain audit logs for security and compliance
- Identify and resolve technical issues
- Improve Platform performance and features
4. Data Ownership
All business data entered into the Platform is owned by the deploying organization. Merrill Digital Systems LLC serves as the technology provider and does not claim ownership of client business data. Data handling is governed by the agreement between MDS and the deploying organization.
5. Data Sharing
We do not sell or share business data with third parties. Data may be shared only:
- With authorized integrations: When the organization has configured integrations with third-party services (e.g., QuickBooks, payroll providers), data is shared as necessary for those integrations to function.
- With infrastructure providers: Hosting and cloud providers that store and process data under strict confidentiality and security obligations.
- When legally required: In response to valid legal process or to protect safety and rights.
6. Data Security
We implement industry-standard security practices including:
- Encryption of data in transit and at rest
- Role-based access controls
- Audit logging of system access and changes
- Regular security reviews
While we take strong measures to protect data, no system is completely immune to security threats.
7. Data Retention
Data is retained for as long as the deploying organization maintains an active deployment. Upon termination of service, data will be handled according to the terms of the service agreement, including options for data export and deletion.
8. User Rights
Users of the Platform should contact their organization's administrator for questions about data access, correction, or deletion. The deploying organization controls user provisioning and data management within the Platform.

9. Changes to This Policy
This Privacy Policy may be updated from time to time. Material changes will be communicated to the deploying organization. Continued use of the Platform after changes constitutes acceptance of the updated policy.
